PLAY INCUBATION COLLECTIVE LETTER OF AGREEMENT FOR

2026 INCUBATION RESIDENCY PARTICIPATION

This is a letter of agreement between Play Incubation Collective (PIC) and the theater artist participating in the 2026 PIC INCUBATION RESIDENCY, hereby known as Artist. Please read the agreements below and sign your consent.

Services Provided.

Artist agrees to participate as CAST, DRAMATURG, COORDINATOR, or PLAYWRIGHT in a PIC INCUBATION RESIDENCY reading. Artist agrees to attend all associated development worksessions when scheduled, and one public reading. Artist agrees to familiarize themself with the script prior to the first worksession they are scheduled for, and to familiarize themself with any updated scripts between worksessions and the public reading.

a. Artist as CAST- agrees to bring their own script unless otherwise notified, either printed or on a tablet, to have familiarized themself with the role ahead of the worksession and reading, and feel prepared to perform it to the best of their ability. Artist is not asked to memorize the material. If Artist is unable to procure their own script, they must notify Coordinator as soon as possible so that arrangements can be made to provide one. Artist also agrees to participate in ongoing developmental conversations about the piece with Playwright and Dramaturg.

b. Artist as PLAYWRIGHT- agrees to work with PIC team to assemble their cast and team. They agree to share information about the reading publicly to aid in publicity efforts. They agree to meet all deadlines as they pertain to the formulation of reading. Playwright agrees to meet ahead of worksession with dramaturg, or dramaturg and coordinator, to identify what they would like to focus on in worksessions, as well as questions to be discussed with the audience. They agree to acknowledge this developmental support in future iterations of the script with the following language, “This play received an Incubation Residency with Play Incubation Collective in 2026.”

c. Artist as DRAMATURG- agrees to work with playwright ahead of time to determine the scope and structure of each worksession as well as craft questions about the piece to share with the public audience.

e. Artist as COORDINATOR- agrees to work with playwright and dramaturg to plan the scope of each worksession, take notes if requested in worksessions, and be the main source of communication for all artists approached about working on the project and contracted to work on the project. Coordinator also agrees to be responsible for letting all artists into the building where worksessions are to be held and help with setting up the space if needed.

d. By participating in this project, all Artists agree to the use of their photos for PIC website and social media.

Additional agreements.

Artist agrees to arrive at the venue for the call time of each scheduled worksession, and no later than 6:30pm on the evening of public reading. Worksession call times will be communicated by Program Coordinator or PIC Co-Director by email. Artist agrees to not enter the Workroom space until Coordinator or PIC Co-Director has arrived. If they encounter any delays in arrival time, artist agrees to contact Coordinator in advance of scheduled arrival time. Coordinator will share their contact information via email prior to the first worksession. All worksessions and readings to take place at 33 Hawley St, Northampton unless otherwise notified. Artist will enter downstairs through the courtyard.

Compensation.

PIC agrees to pay Actors, Playwright, Coordinator, and Dramaturg $20 an hour for each worksession and reading. Actors can expect to be called for 3.5 hours for the public reading. The exact number of hours called for worksessions will be determined by project needs and communicated via email (Max Total Hours: 30). Additionally, PIC has budgeted for an additional 40 hours for Playwright, 35 hours for Dramaturg, and 20 hours for Coordinator of compensated time to account for additional meetings and writing time accordingly. If Playwright, Dramaturg, and Coordinator find they need additional time beyond this, they may reach out to PIC Co-Directors to discuss whether or not this can be accommodated in the budget. All artists will receive payment via check after arrival at the venue on the day of the public reading.
